Overview
The “Manage User Access” interface is where you can view all your listed users, manage their access, view the assigned locations, and perform other necessary user related actions.
How to access the new “Manage User Access” interface
Step 1: Click here to access the ItsaCheckmate Portal and enter your user login credentials.
Step 2: You will be directed to a new window shown below wherein you can find the “Manage User Access” button.
Step 3: Select the “Manage User Access” button that directs you to the user management page (shown below) wherein you can find user-related information segregated under the below-mentioned fields:

User Name - Name of the user

Email - Email address of the user
-
User Type - User type (this is established by ItsaCheckmate)

User Role - Admin or Customer
-
Brands/Locations - Number of locations assigned to the user
-
Actions - Action items like Edit, Delete, and Retrieve Password
Note: Use the ‘Filter’ option to search for the desired user using various criteria.

How to Create a New User
Please follow these steps to create a new User:
Step 1: Go to the ItsaCheckmate Portal → Select the “Manage User Access” button.
Step 2: You will be directed to a new window (shown below) wherein you need to select the “Create User” button available in the top right corner of the window.
Step 3: Enter the basic details of the user like first & last name, email address, phone number, and user role i.e. Admin/Customer in the new pop-up window shown below.
Note: Default permissions may vary as per the assigned User Role i.e. Admin or Customer.

Green colored checkbox indicates the default permissions for the specific user role.

Grey colored checkbox indicates that the permission does not default for the user role, but it has been assigned.

Grey colored checkbox with a minus sign indicates the default permission that has been unassigned for the specific user role.
Step 4: Select the “Create” button indicated above to add the new user.

How to Edit Permissions
Please follow these steps to edit permissions:
Step 1: Go to the ItsaCheckmate Portal → Select the “Manage User Access” button.
Step 2: Find the user for which you would like to edit the permissions and then select the “Edit” button indicated below.
Step 3: You will be directed to a new window shown below wherein you can view all the permissions that have been granted to that user.
Permissions are segregated under three different sections i.e. Menu, Locations, and Users. You can grant specific permission(s) to the user depending upon the requirements by checking/unchecking the default checkbox available against the listed permissions.
e.g. If you would like to provide permission to a user for “Sorting Menu Items”, then you can simply select the checkbox against that specific permission as indicated above. Similarly, if you don’t wish to grant the permission of “Create Location” and “Destroy Users” to a user, simply uncheck the checkbox against that specific permission.
Step 4: Once you have edited the user’s permission(s) section, select the “Update” button to reflect the incorporated changes for that specific user.

How to assign/unassign locations or brands
Assigning location or brand
Please follow these steps to assign locations or brands:
Step 1: Go to the ItsaCheckmate Portal → Select the “Manage User Access” button.
Step 2: Select the user to whom you would like to allocate locations or brands. Then, select the “Edit” button as indicated below that will direct you to a new window.
Note: You can even use the “Filter” option available at the top of the window to further refine the desired search results.
Step 3: You can find two toggle buttons for Assign Brands (all associated locations) and Assign Locations (from different brands) under the “Brand and Location Access” field as indicated below. Now, select the desired brand/location that you would like to allocate to the user from the list of available brands/locations. Then, select the “Assign” button.
You can find two tabs i.e. “Assigned” and “Available” in the window shown below.

Assigned tab shows the brands or locations that are currently assigned to the user that is being edited.

Available tab shows all of the brands or locations that you are able to assign to the user being edited.
Note: If you are assigning a specific brand to a user, then he/she will automatically be granted access to all the respective location(s) tagged under that brand.
Step 4: Once you have assigned the desired brand/location to a user, select the “Update” button to save the incorporated changes.
Unassigning the location or brands
Please follow these steps to unassign the locations or brands:
Step 1: Go to the ItsaCheckmate Portal → Select the “Manage User Access” button.
Step 2: Select the user for which you would like to unassign a specific location or brand. Then, select the “Edit” button as indicated below that will direct you to a new window.
Step 3: Select the “Assigned” tab and uncheck the desired location listed under this tab that you would like to unassign. Then, select the “Unassign” button.
Step 4: Once you have unassigned the desired location/brand, select the “Update” button to save the incorporated changes.

How to reset the password
Please follow these steps to reset the user’s password:
Step 1: Go to the ItsaCheckmate Portal → Select the “Manage User Access” button.
Step 2: Select the user for which you would like to reset the password. Then, select the “Email icon” indicated below.
Note: You can even use the “Filter” option available at the top of the window to further refine the desired search results.
Step 3: A “Send Password Reset” dialog box (shown below) will appear on the screen to confirm you want to send password reset instructions to the user. Then, select the “Send” button to successfully deliver the password reset email to that user.

How to delete the user
Please follow these steps to delete the user:
Step 1: Go to the ItsaCheckmate Portal → Select the “Manage User Access” button.
Step 2: Select the user that you would like to delete. Then, select the “Trash icon” indicated below.
Note: You can even use the “Filter” option available at the top of the window to further refine the desired search results.
Step 3: A “Deleting User” dialog box (shown below) will appear on the screen wherein you need to manually enter the email address of the user to confirm your decision. Then, select the “Delete” button to successfully delete the user.
Note: If you wish to retrieve a deleted user, then you can simply create a new user using the same email address and you will be prompted to restore the deleted user.
