How to Change/Edit Item Elements
Go to Account Menu > Click on Items
Go to Search > Enter Item Name > Click on the item
Edit the name, price, description, etc. under the corresponding field
Click on Save Icon on the right bottom of the screen
How to Set an Alternate Item (Online Name)
If you would like the item’s online name to be different from the POS name, enter the alternate name in the Short Name field and Save your changes.
How to Edit Image/Photo of an Item
Note: This needs to be managed from the ItsaCheckmate Portal

How to Change Item Online Visibility
Go to the Item under Account Menu
Check the Available Online box
Click on Save Icon on the bottom right
How to Add Alcohol Tags to Items
Go to Account Menu > Click on Tags
Click on NEW
Enter tag name under Name field
Select the Item under Assigned Items
Click on Save Icon at bottom right of screen
You can also add tags in the Item itself by adding the appropriate tag in the Tag field.
The required tags for alcoholic items are:
alcoholic drink without food |
Alcoholic drink sold on its own |
alcoholic drink including food |
One item including an alcoholic drink with a food item |
How to Delete/Remove an Item
Go to Account Menu
Go to Item you wish to remove
Scroll down to the bottom of the page > Click on Bin Icon
Click on Save Icon
How to Mark an Item/Modifier as “Sold Out”
Marking items as sold out or (86’d) must be done in the ItsaCheckmate Portal. Follow the same steps if you want to mark a modifier as out of stock.
Log in to the ItsaCheckmate Portal
Select Menu Management
Toggle the Available button under the item you wish to mark as sold item and it will then mark the item as sold out (default is 1 day).
And select Direct Push (External) from the left hand sidebar
Note -The item will be marked as sold out for the day
Click on the down arrow to display other sold-out options - up to 7 days or Indefinite
How to Sort Categories & Items
Note: This needs to be managed from the ItsaCheckmate Portal
Click on Location Management
Select Menu next to correct Location
Click on Sort Menu
To sort Categories:
Drag and drop Category to desired space > Click Save
Click Push to Ordering Platform
To Sort Items within a category:
Drag and drop Item to desired space > Click Save
Click Push to Ordering Platform
How to Change/Edit a Modifier
Go to Account Menu > Click on Ingredients
Select the Modifier you wish to edit> Edit details of Modifier
Click on Save Icon on the bottom right
How to Delete a Modifier
Go to Account Menu> Click on Ingredients
Select the Modifier you wish to delete > Click on the Bin Icon
Click on Save Icon at bottom right
How to Sort Modifier Groups
Note: This needs to be managed from the ItsaCheckmate Portal
Go to Location Management > Menu
Click on the Item you wish to edit
Click on Sort Modifier Groups
Drag and drop groups to desired place > Click Save
How to Change the Min/Max for a Modifier Group
Go to Account Menu > Click on Modifiers
Search & Select Modifier Group in Search Bar > Update the Min/Max Choices to the modifier group
Click on Save Icon on the bottom right

How to Set the Modifier Groups as “Required/Optional”
To set a modifier group as required, you must do so by setting the Min/Max set on the modifier group. If the Minimum choice is set as “greater than 0”, it automatically pulls it as “Required” and if there are no Minimum Choices (set as “0”), it automatically detects it as “Optional” in the system.

How to Publish Changes
For changes made in the Heartland POS → always clickSaveat the bottom of the screen in the POS
For changes made in the ItsaCheckmate Portal to be immediately reflected on your integrated ordering platforms→ always clickResync with POS→ ClickPush to Ordering Platform
Otherwise, our system will automatically sync with the POS EVERY HOUR and push to the ordering platforms at that time.
